Zoom Integration Documentation
The TapHR Zoom integration lets recruiters and interviewers schedule candidate interviews as Zoom meetings directly from TapHR. TapHR creates the meeting in Zoom, saves the meeting link with the interview, and replaces or deletes the meeting when the interview is rescheduled or cancelled.
Before you start
- You need a TapHR account with access to recruiting (vacancies and candidates).
- You need a Zoom account. Meetings are created under your Zoom account, so the limits of your Zoom plan apply to them.
- Each interviewer connects their own Zoom account. The connection belongs to your TapHR user in the current company; connecting Zoom does not connect it for your colleagues.
1.Adding the TapHR Zoom integration
- Sign in to TapHR.
- Open Settings.
- Go to Integrations and open the Processes tab.
- Find Zoom.
- Click Connect.
- You will be redirected to Zoom.
- Sign in to your Zoom account if required.
- Review the permissions requested by TapHR.
- Click Allow.
- You will be redirected back to TapHR.
- Zoom will appear as connected: the Zoom card now shows Disconnect instead of Connect.
TapHR uses access to your Zoom account only to create, update and delete the meetings it schedules for interviews. It does not read your other meetings, recordings, chats or contacts.
2.Using the integration
Creating a Zoom interview
- Open a vacancy in TapHR.
- Select a candidate.
- Schedule an interview: click Create a meeting on the candidate.
- Under Location, set Interview type to Online and select Zoom as the Platform.
- Under Meeting time, select the interview date, start time and duration.
- Save the interview: click Create meeting.
- TapHR creates the meeting through the Zoom API.
- The Zoom meeting link is stored with the interview and can be shared with the candidate.
TapHR creates the meeting in the Zoom account of the first interviewer in the participant list who has connected Zoom. That person is the meeting host.
If a vacancy stage lets candidates choose an interview slot themselves and Zoom is selected as the platform for that stage, TapHR creates the Zoom meeting automatically when the candidate books a slot.
Rescheduling
- Open the interview in the TapHR calendar, or open the candidate and click Reschedule.
- Change the date or time.
- Click Save changes.
- TapHR deletes the previous Zoom meeting and creates a new one through the Zoom API. The new link replaces the old one in the interview details.
Saving changes to an interview that has a Zoom meeting always creates a new meeting, and the previous link stops working. Share the current link from TapHR. Changes made to the meeting directly in Zoom are not synced back to TapHR.
Cancelling
- Open the interview in the TapHR calendar.
- Click Cancel meeting.
- TapHR deletes the meeting in Zoom through the Zoom API, removes the stored meeting details and marks the interview as cancelled.
The same happens when a candidate cancels an interview they booked themselves.
Viewing meeting information
- In the TapHR calendar: hover over or open the interview to see the date, time, participants and the Zoom meeting link. Use Copy link to share it.
- On the candidate: the scheduled interview shows its date, time and platform (Zoom).
- In Zoom: the meeting also appears in the host's Zoom account under Meetings → Upcoming.
Troubleshooting
- The interview was saved without a Zoom link. None of the interviewers had Zoom connected, or Zoom returned an error. Connect Zoom (section 1), then open the interview and save it again to create the meeting.
- Zoom shows as not connected although you connected it before. When Zoom stops accepting TapHR's authorization (for example, after you removed TapHR in Zoom), TapHR deletes the stored tokens. Click Connect again.

3.Removing the integration
- Sign in to TapHR.
- Open Settings → Integrations → Processes → Zoom.
- Click Disconnect.
- TapHR removes your Zoom authorization: it deletes the Zoom OAuth tokens stored for your account, and the Zoom card shows Connect again.
What happens to your data after disconnection
- TapHR permanently deletes the Zoom OAuth access and refresh tokens stored for your TapHR user in this company. TapHR can no longer access your Zoom account or create, change or delete meetings in it.
- Existing interview records remain in TapHR, including their date, time and the Zoom meeting link saved with them.
- Zoom meetings that TapHR already created are not deleted and remain in your Zoom account. If you cancel or reschedule such an interview after disconnecting, TapHR can't remove the old meeting from Zoom, so delete it in Zoom if needed.
- Disconnecting in TapHR does not remove TapHR from the apps in your Zoom account. To revoke TapHR's access on the Zoom side as well, follow the steps below.
Removing TapHR in Zoom
- Sign in to the Zoom App Marketplace.
- Click Manage → Added Apps.
- Find TapHR and click Remove.
Once TapHR is removed in Zoom, Zoom no longer accepts TapHR's tokens. TapHR deletes the stored tokens the next time it tries to create a Zoom meeting with them. To delete them right away, also click Disconnect in TapHR.
Data TapHR stores
- OAuth access and refresh tokens for your Zoom account, linked to your TapHR user and company. They are deleted when you disconnect Zoom in TapHR.
- For each interview with a Zoom meeting: the Zoom meeting ID, meeting link, topic, and start and end time.
